In your 30 days dedicated projectbilling demo you'll have already prepared 3 different projects which are ready to invoice:
1. Project with a fix offered rate which just started and we have entered a prepayment of 30% which is already in the billing-workflow:
Project: Demo Project 1 (fixed rate)
1.1. Please log in as Elvis Presley (Project Manager), Username: epresley Password: [same Password as your Admin User above]. Go to the 'Billing-Section' in the Menu and click on the Menu Project > Approval. Then you see 3 invoices in the approval workflow for Elvis. Click on the 'Cust - 30% Prepayment for Demo 1 Project [Fixed]' invoice to open the preview. You'll see the calculation for the 30% prepayment for this new project. Approve the calculation by clicking on the 'approve' button. This invoice is now gone from Elvis' workflow.
1.2. Now log in as John Wayne (CEO, Supervisor), Username: jwayne Password: [same Password as your Admin User above]. Go to the 'Billing-Section' in the Menu and click on the Menu Project > Approval. Then you see the one invoice that Elvis just approved. Click it to open and press also the approve button. The approval workflow for this invoice is now complete, so that Marilyn Monroe can print it.
1.3. Now log in as Marilyn Monroe (Accountant), Username: mmonroe Password: [same Password as your Admin User above]. Go to the 'Billing-Section' in the Menu and click on the Menu Project > Billing. Then you see the one invoice that Elvis and John just approved. Click it to open and press the 'Generate Invoice' button. Here you could change the preconfigured data like payment date, address etc. What you have to do at least is to select an invoice-template. This is a fix-rate-project so we choose the 'Billing Template Projects'. Then you can save and download the invoice. Then the automatically generated Open-Office-Invoice will be downloaded and you can open and print it. (Open-Office is the powerful MS Office OS Version (free), read about it and download it here)
You'll also find all the invoices for the projects in the project header downloadable with one click.
2. Project with a fix offered rate which is just done so that the final invoicing can be done:
2.1. Please log in as Elvis Presley (Project Manager), Username: epresley Password: [same Password as your Admin User above]. Go to the 'Billing-Section' in the Menu and click on the Menu Project > Approval. Then you see 2 invoices left in the approval workflow for Elvis. Click on the 'Cust - Demo Project 2 (finished, Fixed Rate) [Fixed]' invoice to open the preview. You'll see the whole project-calculation including the prepayment from the project-start and some additional expenses (change requests). Approve the calculation by clicking on the 'approve' button. This invoice is now gone from Elvis' workflow.
2.2. Now log in as John Wayne (CEO, Supervisor), Username: jwayne Password: [same Password as your Admin User above]. Go to the 'Billing-Section' in the Menu and click on the Menu Project > Approval. Then you see the one invoice that Elvis just approved. Click it to open and press also the approve button. The approval workflow for this invoice is now complete, so that Marilyn Monroe can print it.
2.3. Now log in as Marilyn Monroe (Accountant), Username: mmonroe Password: [same Password as your Admin User above]. Go to the 'Billing-Section' in the Menu and click on the Menu Project > Billing. Then you see the one invoice that Elvis and John just approved. Click it to open and press the 'Generate Invoice' button. Here you could change the preconfigured data like payment date, address etc. What you have to do at least is to select an invoice-template. This is a fix-rate-project so we choose the 'Billing Template Projects' (You'll see that the invoice-no is an automatic generated counter). Then you can save and download the invoice and the automatically generated Open-Office-Invoice will be downloaded and you can open and print it.
3. Maintenance Project of which all green tasks with a closed date within the last period (month) will be automatically in the billing workflow every 1st of the next month.:
3.1. Please log in as Elvis Presley (Project Manager), Username: epresley Password: [same Password as your Admin User above]. Go to the 'Billing-Section' in the Menu and click on the Menu Project > Approval. Then you see 1 invoice left in the approval workflow for Elvis. Click on the 'Cust - Demo Maintenance Project [monthly basis]' invoice to open the preview. You'll see the whole calculation for the last period(s). Approve the calculation by clicking on the 'approve' button. This invoice is now gone from Elvis' workflow.
3.2. Now log in as John Wayne (CEO, Supervisor), Username: jwayne Password: [same Password as your Admin User above]. Go to the 'Billing-Section' in the Menu and click on the Menu Project > Approval. Then you see the one invoice that Elvis just approved. Click it to open and press also the approve button. The approval workflow for this invoice is now complete, so that Marilyn Monroe can print it.
3.3. Now log in as Marilyn Monroe (Accountant), Username: mmonroe Password: [same Password as your Admin User above]. Go to the 'Billing-Section' in the Menu and click on the Menu Project > Billing. Then you see the one invoice that Elvis and John just approved. Click it to open and press the 'Generate Invoice' button. Here you could change the preconfigured data like payment date, address etc. What you have to do at least is to select an invoice-template. This is maintenance-project so we choose the 'Billing Template Maintenance' (You'll see that the invoice-no is an automatic generated counter). Then you can save and download the invoice and the automatically generated Open-Office-Invoice will be downloaded and you can open and print it.
